How We Work

No. We work inside your existing platform. CloseOutFlow is an operational layer, not a replacement for your field service software.

We use scoped, permissioned access set up during onboarding — configured to your security preferences, and limited to what's required for close-out processing.

We follow strict access controls, permissioned logins, and confidentiality agreements as standard. Full security details are covered during onboarding.

Installations completed on a given business day are processed the next business day as part of our standard daily intake.

Our standard processing schedule covers business days. Weekend installations are processed on the next business day.

We flag it as an exception, route a specific request to the responsible person on your team, and track it until resolved — nothing sits unaddressed. Most installations are processed under our standard workflow. Exception cases are installations that require significant additional manual effort due to incomplete technician documentation, missing equipment or customer information, manufacturer portal issues, or extended follow-up beyond our standard processing. Any additional charges are discussed transparently and approved before work begins.

Yes, for standard warranty registration and confirmation processes across major residential HVAC manufacturers.

Rebate processing can be scoped as part of onboarding depending on manufacturer and regional program requirements — this is discussed on your discovery call.

Fit & Scope

No. We specialize exclusively in residential HVAC installation close-out.

Most of our customers run 5–20 trucks with a growing residential installation division.

We currently support ServiceTitan, Housecall Pro, Jobber, and FieldEdge. If you use a different platform, ask us on your discovery call.

No. Technicians continue completing installations exactly as they do today. Our process begins after the job is marked complete.

Onboarding starts with a discovery call, followed by systems access setup and documentation standards alignment — typically completed within 1–2 weeks.

Most contractors are fully live within two weeks of signing.

Contract & Ownership

Yes. Terms are outlined in your agreement, and we don't lock contractors into long-term commitments they've outgrown.

You do. All records, packets, and registration confirmations belong to your business — we simply manage the process.

All installation records and documentation remain accessible to you; we support a clean handoff of ongoing records at offboarding.
